Simple and effective enhancements for your PeopleSoft system

Redirect on Sign-on

Normally, when you sign in to PeopleSoft you land at the homepage of the default tab. This works for some sites, but it’d often be handy to redirect either all users, or just a subset, to a particular tab, component or dashboard.

There are a number of ways to achieve this including deep-linking (giving different sets of users different sign-on links), and setting up multiple sign-on pages (each pointing to the desired landing page). Both have their flaws however and increase the maintenance overhead.

We’ve created a solution that can redirect a subset of users (based on membership or a role or permission list) to an alternative homepage. It’s easy to amend and upgrade friendly.

Custom Sign-on Page

The delivered PeopleSoft sign-on screen is perfectly functional, however it looks a touch austere. As it’s the first screen your users see when they log on to PeopleSoft (unless you use SSO) it’s worth putting in a little effort to make the right impression.

We’ve found that adding a page that’s branded to the individual client – so it’s both attractive to look at and recognisable as ‘one of our systems’ – creates far more positive feelings than one that’s left as vanilla.

Many clients don’t have the time to focus on details like this – however important they may be – so let us do it for you! Here’s an example of how it could look:

(NB: this is a fictional example – we haven’t designed a sign-on screen for Oracle.)

It’s coded in a responsive manner, so if you view it using different resolution screens (or even just resize the browser window) the background image stretches and scales accordingly.

Just send us a reasonably high-res photo for the background, the logo for your system (to replace the MyHR logo above) together with which browsers you use and the languages that should be available to select from. Then we’ll create your branded sign-on page for you (plus the other pages that you’ll need branding, like time-out and expired password screens, plus the timeout warning popup). Once we send the results back it’s a breeze to install too.

Copy Homepage Layout

Adding pagelets to the PIA Homepage is one of the best productivity enhancements that you can make to standard out-of-the-box PeopleSoft. It’s surprising how many clients don’t take advantage of this. Getting it right is quite difficult however, as factors like security and differing job roles and therefore different requirements make it tricky. Some sites expend a lot of time crafting a matrix of optional and required pagelets, however many don’t.

For those sites here’s a tool that’ll save you hours. Once one of your users has set up their homepage in an efficient manner, you can easily copy this to other users in the same department or job role. I also find this useful early in an implementation to setup all developers with a homepage with pagelets for common items (the security pages, process monitor pages, message catalogue, portal pages, etc).

Audit Viewer

Simple and Quick Audit access

Every customer will have a set of records and fields that they audit within PeopleSoft – and these will vary wildly from client to client. What doesn’t change however, is the need to view the rows recorded in the audit records. Unfortunately, PeopleSoft doesn’t deliver anything to let you do this, you have to either use SQL or craft a Query. Many people don’t have SQL skills, and Query often isn’t appropriate as either people don’t have the skills, the access or it’ll take too long. To fill this gap I decided to build the following tool:

This component allows you specify an audit record to examine (both record and record/field level auditing is supported by the tool).

Once the page loads, you are shown two areas where you can filter the audit rows that will be returned. The first area lists common audit fields (i.e. those that will appear on all audit records, plus some fields which allow you to specify a date range). The second area reads the keys from the record that the audit rows relate to and allows you to filter by those also (so these are dynamic, based on the record that you selected).

When you click search you audit record is queried and the rows returned (subject to your query fields).

A quick and easy way to allow non-technical staff to look-up audit data.

Ease security / menu admin with this simple tool

All implementations will – at some point or other – include a task to ‘tidy up the menus’ and remove some of the unnecessary folders and components. This is an iterative task, and at times quite frustrating. The most annoying occurrence is when a user’s menu options somehow include a folder or content reference that (given the reduced set of permissions that you’ve granted them) they shouldn’t be able to see. After one such occasion I decided to build the following tool:

This component allows you specify a oprid and then either a portal registry folder or content reference. It then looks through all of the different ways in which the folder or cref could be visible to that oprid and outputs a short report on-screen. I’m not exaggerating when I say that this saved hours/days of frustration on my last project.

Simply search for the UserID (or User Name) that you’re investigating. Then fill out the details of your folder / content reference:

If you don’t know your Content Reference name, the Prompt allows you to search by the Menu Label too:

Click search and the page checks for all of the ways that the user can have access to the Menu Item. The results look like this:

Single-click account unlock / password reset

For sites that don’t have an enterprise-wide single sign-on solution that’s integrated with PeopleSoft the number one cause of calls to the helpdesk will be password resets/account unlock requests (source). It’s not particularly desirable to have your 1st line support staff accessing the delivered User Profile component of PeopleSoft (nor is it fast if all you wish to do is unlock an account or reset a password). It’s a great idea to speed things up and simplify administration with a page dedicated to this business function, giving your 1st line support a single-click method of resetting passwords and/or unlocking accounts.

Simply search for the UserID (or User Name):

And then click unlock to unlock the account and/or reset password to have the system assign a new random password.

The user will be prompted to change it on next logon (assuming that password controls are on).

Many years ago I put together a set of five alternate colour schemes for the PeopleSoft PIA. The intention was that clients could use a colour for each environment, for example, DEV could be Red, TST could be brown, UAT could be green, SIT could be purple etc.

This is how the environments could look:
